The University Libraries’ Faculty Activity Management Services (FAMS) team and the Digital Measures by Watermark team is undertaking a review of the Activity Insight (aka: Digital Measures, FAIS, or AI) system. Stretching over the next year, the instrument tune-up has seven stages and each stage has five phases. The tune-up will improve data collection, data quality, and will make the system better for all. The first stage is outlined below.
Stage 1 – Research and Creative Accomplishments section (started May 7, 2019 – approximate end date July 19, 2019)
Phase 1 – Analysis
Completed by the Watermark team. Each screen in the target section of the database will be reviewed and opportunities identified for simplification and/or improvement. The document produced will identify low usage fields and drop-down values, recommendations to improve data quality and collection, and user experience suggestions. A primary area of focus will be reviewing college specific ‘split’ fields and outlining a path to unite these into single categories, where possible. The analysis is focused on screen structure and design but may also include some light data review.
Phase 2 – Analysis Review
Completed by the FAMS team. The recommended changes and potential effects on data and reports will be reviewed,if the recommendations will affect a specific unit we will contact the Stakeholders for that unit to notify them of the recommended changes and we will wait for approval.
Phase 3 – Test Environment
Completed by the Watermark and FAMS teams. In this step Watermark will make all changes in the Beta system. The FAMS team has one week to test all changes. If you want to participate in the testing, please, contact Nicole Gampe directly (email@example.com). Documentation will be updated or created to reflect all changes. Emails will be sent to the Stakeholders on what will be implemented in the Production system the following week.
Phase 4 – Production Implementation
Completed by the Watermark and FAMS team. Watermark will move all changes in Beta to Production. The FAMS team will again test all changes, continue to update documentation for this section, and advise stakeholders.
Phase 5 – Validation and Report Review
Completed by the Watermark and FAMS teams. The University Dossier and Non-Tenure Track Faculty Promotion Dossier will be reviewed for accuracy. Please note that the University also has 19 different Faculty Annual Review reports which will not be updated during this phase. The current plan is for all Faculty Annual Review reports to be reviewed during Stage 5.
